Zyntra Technologies ("Zyntra", "we", "us") respects your privacy. This Privacy Policy explains how we collect, use, share and protect personal data when you visit zyntra-technologies.com or use the Zyntra gym management software for Windows and related services (the "Service").
1. Information we collect
Information you give us
- Account and contact details: name, email address, phone number, business name and address.
- Enquiries: information you send us through our contact form, email, phone or WhatsApp.
- Customer Data: data that you (our customer, such as a gym owner) enter into the Service about your members and staff. This can include names, contact details, photos, membership and payment history, attendance records and, if you enable biometric devices, biometric templates.
Information collected automatically
- Usage and device data: IP address, browser type and pages you visit on our Website. When the software is activated or online, we also collect license details, a device identifier, the software version and basic diagnostic logs.
- Remote installation: when we install or support the software remotely (for example via AnyDesk or TeamViewer), we access your computer only with your permission and only for the duration of the session.
- Cookies: small files that keep you signed in, remember your preferences and help us understand how the Website is used.
Payment information
Online payments are processed by Paddle.com, our reseller and Merchant of Record. We do not collect or store your full card details. Paddle shares limited information with us, such as your name, email, country, the plan you bought and your transaction status, so we can manage your subscription. Paddle handles your payment data under its own Privacy Policy.
2. How we use information
- to provide, run, maintain and improve the Service;
- to create and manage your account and subscription;
- to respond to enquiries and provide customer support;
- to send service messages such as receipts, renewal notices, security alerts and updates;
- to send marketing messages, if you have agreed to receive them (you can unsubscribe at any time);
- to detect and prevent fraud, abuse and security incidents;
- to comply with our legal obligations.
3. Customer Data (your gym members' data)
When a gym uses Zyntra to manage its members, the gym is the data controller and Zyntra acts as a data processor. Customer Data is stored on the Windows computer where the software is installed. When online features such as multi-branch sync are used, it is also sent to and stored on our servers. We process Customer Data only on the gym's instructions and to provide the Service. We never sell it or use it for our own marketing. If you are a gym member, please contact your gym with questions about your data.
4. How we share information
We do not sell your personal data. We share it only with:
- Paddle.com, to process payments, taxes, invoices and refunds;
- Service providers such as cloud hosting, email, SMS and WhatsApp messaging, and analytics providers, which process data for us under confidentiality obligations;
- Authorities, when required by law or needed to protect our rights, users or the public;
- A successor business, if Zyntra is involved in a merger, acquisition or sale of assets.
5. Data security
We protect data with technical and organisational measures that include encrypted connections (HTTPS/TLS), access controls, role-based permissions and regular backups. No method of transmission or storage is 100% secure, but we work to protect your information.
6. Data retention
We keep personal data for as long as your account is active and as needed to provide the Service. After your account is closed, we keep data only as long as required for legal, tax or accounting purposes, or to resolve disputes. Customer Data held on our servers can be exported within 30 days of cancellation and is deleted after that. Data stored locally on your computer stays under your control.
7. International transfers
Your data may be processed on servers outside your country. Where we transfer data, we take reasonable steps to make sure it stays protected under this Policy and applicable law.
8. Your rights
Depending on where you live, you may have the right to:
- access the personal data we hold about you;
- correct inaccurate data;
- have your data deleted;
- object to or restrict certain processing;
- receive your data in a portable format;
- withdraw consent at any time, where processing is based on consent.

9. Cookies
We use essential cookies to make the Website and Service work. We may also use analytics cookies to understand how the Website is used. You can control or delete cookies in your browser settings, but some features may stop working if you do.
10. Children's privacy
The Service is intended for businesses and is not directed at children under 13. We do not knowingly collect personal data from children through our Website. Gyms that record data about minors in the Service are responsible for getting the required parental consent.
11. Changes to this Policy
We may update this Privacy Policy from time to time. When we do, we will post the new version here with an updated date. If a change is significant, we will also notify you by email.
